1. The identification workflow
- You deliberately choose Scan Item.
- You take or select one item photo.
- ReplaceHQ may resize and compress that photo.
- The app sends it through a protected Supabase Edge Function to OpenAI.
- ReplaceHQ validates the response and shows an editable draft.
- You confirm or change the name, details, category, location, and schedule before saving.
2. What may be sent
- The single item photo you deliberately selected.
- Server-controlled instructions asking for bounded item-identification fields.
- A random installation identifier used for bounded request controls.
- Ordinary network metadata processed by Supabase and OpenAI to deliver and secure the request.
Provider credentials remain on the server. The iOS app does not contain or call an OpenAI API key directly.
3. What is not sent as part of identification
- Your complete ReplaceHQ inventory.
- Replacement history for other items.
- Your saved location list.
- Your notification schedule.
- Your Apple payment information.
- Photos you did not choose for the scan.
Do not include faces, identification documents, addresses, passwords, API keys, private correspondence, or unrelated sensitive information in an item photo.
4. Identification can be wrong
A photo may not show enough information to determine the exact item, brand, model, size, or maintenance requirement. Provider output may be incomplete, overly general, or incorrect. ReplaceHQ may reject malformed or generic results rather than pretending it found a useful match.
Do not rely on AI-generated schedules instead of manufacturer instructions, required inspections, recalls, professional service, or safety guidance. ReplaceHQ lets you choose and edit the final interval.
ReplaceHQ does not use pixel-shape heuristics to block ordinary circular product geometry. Rotors, filter openings, buttons, wheels, ports, and round labels remain valid photo content.
5. Manual tracking always works
AI identification is optional. If the provider is unavailable, the image is unclear, or you prefer not to submit a photo, choose Add Manually. Manual items support the same schedules, locations, reminders, replacement history, editing, replacement reset, and deletion.
6. Availability and limits
Provider-backed identification requires an internet connection and may be unavailable because of rate controls, provider outages, malformed responses, or service changes. ReplaceHQ Pro availability and entitlement are verified through Apple StoreKit. No network service is guaranteed to be uninterrupted.
